Reducing workload in peak periods
Enrolling students through RPA
From a research by FNV (2021) shows that two-thirds of employees at colleges experience an excessive workload. For example, employees have insufficient time to get their work done, and often have to work hard to keep up with their work at all. This results in stress and burnout. One of the reasons for this excessive workload is insufficient staffing. The solution? Software robots, also known as Robotic Process Automation(RPA).
Take the robot out of the human.
With RPA, repetitive tasks, such as data entry and processing administrative documents, can be automated. This allows employees more time for more important tasks, such as answering student questions and developing efficient work processes. This allows them to focus on and perform their work more efficiently.
Case study: Windesheim University of Applied Sciences
One of the colleges experimenting with the use of software robots is Windesheim University of Applied Sciences. Every term, students have to sign up for new courses. This is done through a web application called ‘Enrollment 2.0’. This web application generates an Excel report, which must then be manually processed by student supervisors in the Educator program. This is because each student must be linked to a group. The result? A labor-intensive process, leading to a high workload, especially during peak periods.
The software robot at work
RoboWin, as the software robot is called, supports tutors in processing enrollments in Educator. This software robot links students to the right groups. But then faster, without making mistakes and also in the evening or on weekends.

Software robots are NOT here to take over our jobs.
It is important to emphasize that the deployment of RPA does not mean that human employees become redundant. On the contrary, the deployment can actually help improve collaboration between humans and computers. Technology can take repetitive tasks off their hands, while employees can focus on their core activities and specialties. This allows them to add more value to the educational process and better assist students in their development.
Deploying software robots in your department?
One of the characteristics of RPA is that it is easy and low-threshold to apply this technology. Thus, you can automate a simple process in just a few days. The first step is to select the activities that are suitable for automation. Wondering how other educational institutions are doing this? If so, please contact Ebert Knol.
